PT Kimia Farma Trading & Distribution (KFTD) provides Gratification Management/Handling Guidelines to report gratuities or other bribery indications. Made by following the Good Corporate Governance (GCG ) and Code of Conduct, as well as corporate culture values, the guideline encompasses the gratuity definition, the reporting media, and the reporting procedures.ย
Defining Gratuities
KFTD Anti-Bribery Management System (SMAP) Guidelines define gratuity as gifts, generosity, donations, and other similar benefits. They can include giving or receiving money, grants, goods, discounts, commissions, interest-free loans, travel tickets, lodging, leisure trips, free medical treatment, and other facilities.ย
In other words, KFTD violates the anti-bribery commitment if any KFTD person experiences two types of gratuities granting and receiving โ directly and indirectly (at the moment of a wedding event, for example).ย
Gratuity Reporting Media and Form
KFTD provides two ways for reporting any bribery of gratuities that potentially occur in KFTD, namely:
- Written or hard copy that needs to be sent to the Gratification Control Unit (UPG) using a downloadable report form
- Via email in the form of pdf or jpeg format and send it to [email protected]
The Procedures for Reporting Bribery in KFTD โ Granting and Receiving of Gratuities
If any KFTD person receives a direct gratuity, the correct procedure is to decline it instantly. The reporting procedures for indirect gratuity granting are as follows.
- The recipient makes a report to UPG, using written form and via email as outlined above, within a maximum period of 30 working days from the date the gratuity is received.
- UPG verifies, analyses, and determines the gratuity-receiving report.
- UPG makes a summon for questioning if necessary.
- Decision-making and ownership status.
- If it does not fall into the category of gratuities that need to be reported, it will be returned to the reporter.
- If it belongs to the company, it will be returned to the company.
KFTD always, in managing its business, strives to be free from any violation actions, including bribery in receiving and granting gratuities. The reporting procedures and media are also in tune with the GCG principles to create a management with trust, transparency, and accountability.
